What a quotation needs
A usable RFQ connects every BOQ line to a technical requirement, quantity and delivery condition. It lets the seller identify what can be quoted, what needs engineering review and what remains commercially open.
Recommended BOQ columns
- Line number, service and cable description.
- Rated voltage, conductor, cores, cross-section, insulation, sheath and armour.
- Standard, edition, fire or environmental performance and required approvals.
- Route or quantity, drum length and permitted tolerance.
- Destination, required date, delivery sequence and Incoterm.
- Drawing or specification reference and revision.
Package the documents
Attach the current BOQ, cable schedule, specification, single-line diagram and tender clarifications. Give files clear names and revisions. If two documents conflict, identify the conflict rather than silently choosing one.
Mark open points
Use “to be technically confirmed” for undecided fields. Separate mandatory requirements from preferences and alternatives. This reduces clarification rounds without turning assumptions into purchase requirements.
Review before submission
- Confirm every line has a quantity or route basis.
- Check units, decimal separators and duplicate lines.
- Verify that referenced files and revisions are attached.
- List exceptions that the supplier must price separately.
- Name the commercial currency and delivery basis only when approved.
The result should allow the sales and technical teams to return a traceable line-by-line proposal, not only a lump-sum price.
